Managing provider availability is essential for effective patient scheduling and practice workflow. For new implementations, Canvas manages provider availability through the Provider Availability plugin.

The Provider Availability plugin lets administrators configure provider schedules and scheduling rules directly in Canvas. Use this workflow for new provider availability implementations.

Overview

Patient appointments are scheduled in Canvas. Provider availability is managed through the Provider Availability plugin, which calculates available appointment slots based on configured provider schedules, appointment rules, holds, blocks, and related scheduling settings.

Some legacy implementations may still use Google Calendar sync for provider availability. If your organization uses Google Calendar sync, follow the Google Calendar guidance in this article. If you are unsure which workflow your organization uses, contact Canvas Support.

Managing provider schedules with the Provider Availability plugin

After the Provider Availability plugin is installed for your organization, authorized users can manage availability from the Provider Availability app in Canvas.

  1. Open the provider menu in Canvas.

  2. Select Provider Availability.

  3. Choose the provider whose schedule you want to manage.

  4. Add or update the provider's recurring availability, one-time availability, blocks, holds, buffers, and related scheduling rules as needed.

  5. Save your changes and confirm that the schedule view reflects the expected available slots.

Managing provider schedules with Google Calendar sync

Some legacy organizations manage provider availability through Google Calendar sync. For those organizations, Canvas reads availability from calendars that follow the expected Canvas naming and configuration conventions.

Canvas uses separate calendar types to determine when a provider can be booked, when they are unavailable, and which appointment types are allowed. When configuring or troubleshooting Google Calendar availability, confirm the following:

  • The provider has the required Canvas-managed Google calendars for availability, blocks, and appointment-type-specific availability.

  • Calendar names follow the expected Canvas naming convention, including the correct location suffix when availability is location-specific.

  • The staff key is included in the calendar description where required so Canvas can associate the calendar with the correct provider.

  • Appointment-type restrictions are represented on the appropriate availability calendar so Canvas only shows slots for the intended visit or note types.

Needs feature-owner confirmation before publishing: confirm the exact four Google Calendar types Canvas currently reads, the precise location suffix format, and the current staff-key description requirement.

Bulk importing availability

For larger schedule updates, use the plugin's CSV import workflow where available. Bulk import is useful when setting up many providers, migrating schedules, or making broad schedule changes.

  1. Prepare the provider availability CSV according to your implementation team's format.

  2. Import the CSV through the Provider Availability workflow.

  3. Review the imported schedules for accuracy.

  4. Confirm that appointment slots appear as expected in Canvas scheduling.

Same-day and next-day holds

The Provider Availability plugin can support same-day and next-day holds. These holds reserve appointment slots until the configured release time, helping teams protect urgent or near-term access.

  • Same-day holds reserve slots that become available on the day of the appointment.

  • Next-day holds reserve slots that become available before the next appointment day.

Limiting availability by visit or note type

Availability can be configured to support more granular scheduling rules, such as limiting certain appointment slots to specific visit or note types. When these restrictions are configured, Canvas filters appointment slots during booking so users only see appropriate options.

For Provider Availability plugin implementations, configure visit- or note-type restrictions in the Provider Availability app.

For legacy Google Calendar implementations, appointment-type-specific availability is controlled by the relevant Google Calendar configuration. Confirm that the calendar name, location suffix, staff-key description, and appointment-type restriction match the intended scheduling behavior.

If a provider's availability does not appear as expected:

  • Confirm whether the organization uses the Provider Availability plugin or legacy Google Calendar sync.

  • For Provider Availability plugin implementations, confirm the plugin is installed and enabled for the environment.

  • Confirm the user has access to the Provider Availability app, if using the plugin workflow.
